Job Summary

  1. Support the COO on all clerical and administrative tasks
  2. Plan meetings and take detailed minutes
  3. Answer phone calls, provide information to callers or connect callers to appropriate people as directed
  4. Managing email and paper-based correspondence
  5. Compose and type regular correspondence, like invitations and informative material
  6. Schedule appointments and update calendar
  7. Make travel arrangements and reservations
  8. Assist with HR, Finance and Shared services where required
  9. Develop and maintain a filing system for the office
  10. Create spreadsheets and presentations
  11. Provide statistical and budget reports when required
  12. Develop, implement and improve office policies and procedures
  13. Handling the mail and ensuring the office stationery storage unit is well stocked.
  14. Organising, filing and storing paperwork and computer-based information.
  15. Creating memos, financial documents and invoices
  16. Taking charge of all FHL procurement admin
  17. Ensure that the COO’s runs smoothly and in line with the all tactical plans

Major Activities

Support Senior Managers and ensure our day-to-day office operations run smoothly without supervision.

 

Education:

Bachelors in any field but will strong work experience in Events, Media, Marketing and Sales

Certification required: Events, Marketing, Media and Finance         

 

Functional Skill:

Working knowledge of office equipment, like printers and fax machines

Strong organizational and time-management skills

In-depth understanding of office management and daily operations           

 

Behaviorial Skills:

Good Inter-Personal Relations, Ability to work under pressure but still deliver to a high standard, multi-tasker and flexible in their approach to work, willing to take up tasks, proactive in approach to work

 

Key Challenges: 

Immediate regularisation of every administrative activities to align with work details

 

Key Decision: 

Ability to pre-empt changes and issues and mitigate them
