1.    Executive Assistant Job Description:

Our Client a reputable Christian Organization based in Lagos, is looking for a competent Executive Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. Ideal candidate will work on a one-to-one basis on a variety of tasks related to the chief executive’s work-life and communication.

Job Duties:

·         Act as the Chief Executive’s tasks manager

·         Preparing financial statements, reports, memos, invoices letters, and other documents.

·         Answering phones and routing calls to the correct person or taking messages.

·         Handling basic bookkeeping tasks.

·         Filing and retrieving corporate records, documents, and reports.

·         Researching and conducting data to prepare documents for review and presentation by the chief executive, committees, and other executives.

·         Helping prepare for meetings.

·         Greeting visitors and deciding if they should be able to meet with the chief executive.

·         Using various software, including word processing, spreadsheets, databases, and presentation software.

·         Reading and analyzing incoming memos, submissions, and distributing them as needed.

·         Making travel arrangements for the chief executive.

·         Performing office duties that include ordering supplies and managing a records database.

·         Opening, sorting and distributing incoming faxes, emails, and other correspondence.

·         Provide general administrative support.

·         Act as the point of contact between the executives and internal/external clients

·         Handle requests and queries in the Chief Executive’s office appropriately

·         Maintain diary, arrange meetings and appointments and provide reminders

·         Develop and carry out an efficient documentation and filing system

Requirements

·         Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position

·         A Bachelor’s degree from a reputable University

·         Full comprehension of office management systems and procedures

·         Excellent knowledge of MS Office

·         Proficiency in English

·         Exemplary planning and time management skills

·         Up-to-date with advancements in office gadgets and applications

·         Ability to multitask and prioritize daily workload

·         High level verbal and written communications skills

·         Discretion and confidentiality
