Job Description

Our client is looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers. The ideal candidate will work on a one-to-one basis on a variety of tasks related to the Chief Executive’s work-life and communication.

Responsibilities

Act as the Chief Executive’s taskmaster

Preparing financial statements, reports, memos, invoices, and other documents.

Act as the point of contact among executives, employees, clients, and other external partners

Manage information flow in a timely and accurate manner

Manage the CEO’ calendars, set up meetings, appointments and manage travel itineraries

Take minutes during meetings

Manage daily expenses and prepare weekly, monthly or quarterly reports

Perform office duties that include ordering supplies and managing records database.

Screen and direct phone calls and distribute correspondence

Handle requests and queries in the Chief Executives’ office

Develop and carry out an efficient documentation and filing system

Provide general administrative support

Use various software, including word processing, spreadsheet, databases, and presentation software

Requirements

Proven Experience as an Executive Assistant, senior executive assistant or in other secretarial position

Minimum of a B.Sc.

Full comprehension of office management systems and procedures.

Excellent knowledge of MS Office

Good verbal and written communication skills

Good planning and time management skills

Ability to Multitask and prioritize daily workload
